HVAC — 9-Tech Shop, Bucks County
Missed-lead response time: 3 days → same-day, no new hires
The Problem
Leads landed in a shared inbox and a voicemail box nobody owned. Techs were closing out billable hours before anyone checked messages, so callbacks routinely slipped to 3+ days — well past the point most homeowners had already booked someone else.
What We Did
Routed every missed call to an automatic text-back that replied in under a minute with a booking link, and put every open quote on one board with a single owner and a built-in day-3 / day-7 follow-up nudge. No new admin hire — it runs inside the office routine that already existed.
The Result
Response time dropped to same-day. Close rate on quoted work rose from about 28% to 41% within one billing cycle — an estimated $6,200/month in previously-cold leads recovered.
Plumbing — 6-Truck Company, South Jersey
No-shows cut by fixing the scheduling handoff
The Problem
Dispatch ran on texts and phone calls between the owner and a rotating crew. Appointment confirmations were inconsistent, and roughly 1 in 6 scheduled jobs ended as a no-show because nobody had confirmed the window with the customer the day before.
What We Did
Built an automatic confirm-and-reminder sequence tied to the existing scheduling calendar — one text at booking, another the morning of — plus a self-serve reschedule link so customers could move a job without calling in.
The Result
No-show rate fell from about 1 in 6 jobs to roughly 1 in 20. The recovered crew time absorbed 2–3 extra billable jobs per truck per week without adding headcount.
Electrical — 5-Tech Shop, Lehigh Valley
~10 office hours/week back by retiring the dispatch spreadsheet
The Problem
Job info lived in three places at once — a paper board, a shared spreadsheet, and text threads with techs. Every schedule change meant updating all three, and double-booked or unstaffed jobs weren't rare.
What We Did
Consolidated dispatch into one live job board that texts each tech their day automatically and updates in real time the moment a job moves — the owner now enters a job once, not three times.
The Result
The owner got back an estimated 8–10 hours a week previously spent re-entering the same information. Double-booked jobs went from a monthly occurrence to effectively zero.
