Appointment Confirmation Messages That Prevent Confusion

A confirmation message works when it answers the five questions customers ask before a visit, in the order they ask them, and arrives within minutes of booking.

A good appointment confirmation states what was booked, when, where, how long it takes and what to do if plans change, and it goes out by text and email within minutes of the booking. Send it once at booking, then send one shorter reminder 24 to 48 hours ahead with a one-word way to confirm or reschedule.

Five rules that keep confirmations clear

  1. Send it within minutes of booking, while the customer still remembers choosing the time, and send the same wording by text and email so either one can be found later.
  2. Write the day and the date together, such as "Tuesday, March 4," because a customer who misreads one can catch it from the other.
  3. Name the length of the visit, since a customer who doesn't know how long a visit runs can't plan the rest of the day around it.
  4. Put the one instruction that matters most in the confirmation, such as parking, fasting, a gate code or a pet put away, and save the full preparation list for a separate message.
  5. Use one channel for changes, a reply word or a link, and say it the same way in every message.

Why it works

A confirmation and reminder pair is one of the best-tested habits in scheduling. A Cochrane review of randomized trials found that text reminders raised attendance at health care appointments from 67.8% with no reminder to 78.6%, about the same effect as a phone call at a fraction of the cost, and two of the studies put the cost of each attendance at 55% and 65% lower for texts than for calls. Asking the customer to reply with a word adds a small commitment, and a study in the Journal of the Royal Society of Medicine found that missed follow-up visits fell 18% after patients were asked to write down their own appointment details, though that study had no control group.

Confirmations about a booked visit are transactional messages, while promotions sent by text need the customer's prior consent; keep the two separate, and read Text Message Marketing for Small Businesses: What's Allowed and What Works before adding offers to a reminder.
