Deposits and a No-Show Policy Clients Accept

An empty chair you were holding costs more than the cut. A fair policy, stated plainly and enforced the same way every time, fixes most of it without losing good clients.

A no-show hurts twice. You lose the cut, and you lose the walk-in you turned away because that chair was taken. Then you spend the next half hour wondering if he's just late.

Most barbers handle this with a sign by the register that says something stern, and then never enforce it because the person who no-showed is a regular they like. That's the worst of both: it annoys the people who read it and doesn't stop the people who don't.

A policy in three steps

Good policies are clear, fair and automatic. Clear means the client sees it before they book. Fair means it gives a little grace. Automatic means you don't have to have an awkward conversation each time.

  1. Remind everyone. A text the day before and an hour before, with an easy way to cancel or move. This alone stops most no-shows, because most of them are forgetting, not rudeness.
  2. Card on file for bookings. Many booking apps can hold a card without charging it. You only charge it if the policy kicks in.
  3. A deposit for long or premium services. Color, designs, a full grooming package or anything over an hour. Take a portion up front.

Say it once, clearly

Put the policy on your booking page and in the confirmation text, in plain words.

Policy wording

Need to cancel or move? No problem, just let us know at least [HOURS] hours ahead. Late cancellations and no-shows are charged [AMOUNT or %]. Life happens, so your first one's on us.

"Your first one's on us" does a lot of work. It tells good clients you're not out to get them, and it makes the second charge feel fair instead of petty.

Day-before reminder

See you tomorrow at [TIME], [NAME]! Need to move it? Just reply here or use this link: [LINK].

After a first no-show

Hey [NAME], missed you today! No charge this time. Want me to find you a new time this week?

Enforce it the same way every time

The policy only works if it applies to everyone, including the regular you've known for years. If you'd feel bad charging someone, let the booking app do it automatically and send the text above first. Most people pay without a word, because they knew the rule when they booked.

Questions barbers ask

Will a card requirement scare off new clients? A few. Most people are used to it from restaurants and salons. If you're worried, require it only for prime times like Saturdays.

What about walk-ins? This is for booked slots only. Walk-ins have the text list instead.
