What to Include in a Home Service Estimate Follow-Up
A good follow-up on an estimate is short, specific and scheduled before the estimate goes out, and it makes saying yes easier than putting the decision off.
A home service estimate follow-up should include five things: the customer's name and the job in their own words, one useful detail they may have forgotten, an answer to the question most customers have at this stage, a single easy next step and a date when you will check in again. Send the first follow-up two days after the estimate, then follow a set schedule of three or four touches over three weeks, and close the loop politely at the end so the customer can say no without feeling chased.
The five parts of every follow-up
- The job, named the way they described it. "The water heater in the basement that's been running out of hot water" is easier to recognize than an estimate number.
- One detail that helps them decide. A photo from the visit, the age of the equipment, a warranty term or how long the price holds.
- An answer to the likely question. Financing, timing, what happens to the old unit, or what the difference is between two options.
- One easy next step. "Reply YES and we'll send two install dates" is easier to act on than "let us know if you have questions."
- The next date. Tell them when you'll check in again, then do it.
The schedule and the words to copy
| When | Channel | Message to copy |
|---|---|---|
| Day 0 | Text with the estimate | "Hi [Name], here's the estimate for [the job] we looked at today: [link]. The price holds until [date]. Reply here with any questions, it comes straight to me." |
| Day 2 | Text | "Hi [Name], checking that the estimate for [the job] came through. One thing I didn't mention: [detail, e.g. the unit is 14 years old, so this repair has a shorter payback than usual]. Happy to walk through it by phone." |
| Day 5 | Subject: "Your [job] estimate and two install dates." Body: restate the job, attach the photos, answer the most common question (financing or timing), and offer two specific dates. | |
| Day 10 | Phone call | "I'm calling about the [job] estimate. Is there anything we didn't cover, or anything that would make the decision easier?" Leave a short voicemail and follow with a text if there's no answer. |
| Day 21 | Text | "Hi [Name], I'll close out the [job] estimate this week so it doesn't clutter your inbox. If the timing changes, reply anytime and we'll pick it back up." |
What to leave out
- Pressure the facts don't support, such as an invented deadline; if the price truly holds for 30 days, say so, and if it doesn't, leave the deadline out.
- A list of every service you offer, which buries the one job the customer is deciding on.
- "Just checking in again" with nothing new, since each touch should add a detail, an answer or a specific date.
Why it works
Silence after an estimate is often delay rather than refusal, and the research on follow-up contact shows what a second touch tends to do. A Cochrane review of 481 randomized trials of mailed questionnaires found that contacting people who hadn't responded raised the odds of a reply by 35% (odds ratio 1.35); a questionnaire isn't a signed job, so the figure is a benchmark rather than a promise, but it describes the same moment, a request someone meant to answer and set aside. The schedule above turns that single extra contact into a habit that happens on every estimate, not only the ones the owner remembers.
